Collection, storage and use
Your disclosure of personal information
You may decide to disclose personal information to us by providing identifying information when:
- obtaining a logon to the Site;
- subscribing to Site updates by email;
- adding forward works information or other material to the Site; or
- seeking information from or via the Site or from us directly.
This information will be accessible by certain members of our staff. To the extent that it forms part of material that you have submitted to be published on the Site, it may also be viewable by authorised and authenticated users of the Site.
Your use of the Site may also generate an access trail for audit and security purposes.
Holding of information
Personal information that you provide will be held by the Lead Agency and, on our behalf, by our outsourced service provider to whom we have contracted operation and management of the Site. Our outsourced service provider uses cloud hosted infrastructure located in New Zealand.
We will only use personal information provided to us or generated by the Site for the following purposes:
- to provide services offered by this Site;
- to enable Site users to collaborate and share information;
- to administer and evaluate this Site;
- to monitor Site access and security; and
- to communicate with users of the Site.
In this clause, "Site" includes any public version of a forward works viewer that we may release.
Sharing of personal information
We will share the forward works data with any authenticated user that wishes to access the data. These users will be able to view the data on the Site and may have the ability to download data from the Site and/or consume the data through a web service data feed. We may also share the data with other government agencies and non-government organisations and the data may be made available on a public version of a forward works viewer. The forward works data may contain names, email addresses and phone numbers for relevant contact personnel in organisations undertaking infrastructure works.
Statistical information and cookies
We may collect statistical information about your use of the Site to help us analyse usage of, and improve, the Site. This information includes:
- users' IP addresses;
- users' search terms;
- pages accessed on the Site;
- links that are clicked on;
- date and time of Site visits;
- previous visited site;
- users' operating systems; and
- browsers used when accessing the Site.
This Site generates cookies for logged in users. The cookies, which can be found on your computer, are named forwardworks.co.nz.
Records and disclosure statement
Public Records, Official Information and Parliament
Personal and other information disclosed to us on or via the Site may constitute public records and be retained to the extent required by the Public Records Act 2005. We may also be required to disclose such information under the Official Information Act 1982 or Local Government Official Information and Meetings Act 1987. We will not disclose such information under the Official Information Act or Local Government Official Information and Meetings Act 1987, without first taking reasonable steps to consult the relevant data provider.
Rights of access, correction and review
You have the right to access and to request correction of any of your personal information provided to us in connection with your use of this Site. If you would like to see the personal information relating to you that we have stored, or to request correction of such personal information, or if you have any concerns regarding your privacy, please contact us by any of the means set out below (we may require proof of your identity before being able to provide you with any personal information):
